Background:

Bodorgan Estate is the largest land-holding on Anglesey and enjoys an extensive and diverse built portfolio including 105 let houses, a growing holiday letting portfolio, hundreds of farm buildings and substantial heritage property occupied by a number of members of the Meyrick family. It organizes the lettings of it’s properties itself and has an experienced maintenance team to support this. The Residential Lettings Manager (ARLA qualified) will report directly to the General Manager and will work closely with the Maintenance Manager and others in the office team. Lettings Manager: We are looking for an ARLA qualified candidate to have sole responsibility for managing the residential lettings and tenant services for 105 properties. The role includes the following key responsibilities:

Managing the legal aspects of lettings:

• Ensure the General Manager/Chief Operating Officer is kept up to date with current legislation and that we adhere to relevant regulations

• Advise Landlords/owners of all legal implications related to lettings that may affect the Estate and suggest any required action to the General Manager/COO. This includes statutory legislation and the progress of Renting Homes (Wales) Act and local housing matters

• Prepare and serve s.21/s.8 notices, prepare court documentation, represent the Estate in Court if required

• Ensure all documentation is up to date

• Review and amend standard agreements when required

• Ensure all relevant tenancy documentation is kept on file

• Ensure that tenants are treated lawfully bearing in mind property related legislation.

Managing residential property letting practice:

• Complete market appraisals/regular rent reviews

• Propose the best possible increase whilst ensuring this does not lead to a void or if currently void, that will ensure the void period is as short as possible

• Keep up to date with local market conditions, trends and future movement in the market/tenant profile to ensure that the Estate offers what is required at the current time and plans for future market trends in advance

Management of void properties:

• Wherever possible encourage suitable tenants to remain with us

• Where there is a void, ensure all action necessary is taken as soon as possible to find a suitable new tenant

Property marketing:

• Create property details, upload to website and where necessary market on Rightmove

• Maintain relationships with prospective tenants to promote the Bodorgan Estate

• Keep a record of all prospective tenants for future voids

• Carry out property viewings as required during working hours (additional support with this task may be available)

Tenancy administration:

• Create new tenancy agreements utilising agreed precedent

• Manage deposits ensuring adherence to legislative controls

• Complete end of tenancy administration including inspection of property to determine level of deposit to be returned to tenant

• Prepare for new tenancies: Organise Schedules of Condition, property cleaning, tenant credit checks, liaise with the Maintenance team regarding statutory checks

• Respond to tenant enquiries regarding their tenancy and passing on maintenance reports to the Maintenance Manager

• Manage aged debtors and charge interest where appropriate

Property inspections:

• Visit properties and tenants annually: Ensure properties are kept to a suitable standard (liaising with Property Maintenance team as required)

Tenant liaison:

• Assist with resolving neighbourhood and other disputes as required

• Build up a rapport with tenants (helps to avoid future problems)

Reporting requirements:

• Produce ad hoc reports as required by the General Manager/COO/Owner

Qube:

• Ensure accurate, effective and timely record keeping using the finance and property management system (Qube). Training will be provided

Other:

• To support the MEM team deliver its objectives in an effective, timely & professional manner

THE PERSON: experience and skills

This is a challenging but rewarding opportunity and we are looking for an ARLA qualified experienced lettings professional with the confidence and experience to deliver the Key Responsibilities.

Skills

Essential:

An effective and competent letting professional

Practical management of residential lettings including voids

Effective use and application of ICT with sound working knowledge of MS Excel and MS Outlook

Solid understanding of the specialist legislation effective uniquely in Wales

Self-confident and adept at face to face negotiations

Numeracy and literacy

Confident organisational skills and ability to work both independently and within the team environment

A positive team player with effective communication skills

Effective use of external professionals and consultants

Own transport and driving license

Desirable:

ARLA qualified and registered under Rent Smart Wales legislation

Employment Package:

Salary- Competitive for the right candidate.

Hours of Work: - You will be expected to work a 37 hour week between Monday and Friday. Usually 9am to 5pm. Pension The Company will pay 6% of salary if the Employee contributes 3% of their salary (there are other schemes available). Sick Pay Policy You are entitled to SSP.
